01About Koho
What is Koho?
Koho is back-office software for Australian recruitment agencies. It converts any CV to your agency’s template, sends your terms of business for e-signing, chases references, lets candidates register themselves and sends clients market updates, all from one record with your brand on it.
Do clients and referees need an account?
No. Clients sign your terms and referees answer their questions from a link, on pages with your agency’s logo and colours.
Can we put our own brand on it?
Yes. Set your logo, colour and typeface once in the Brand kit, and they go on the profiles, terms, references and emails your clients and candidates see.
Where is our data stored?
Your agency’s records and files are stored in Sydney. Resume files are read and discarded unless your agency chooses to keep them. To read a CV, Koho sends its text to Anthropic, which may process it outside Australia and does not use it to train models. The privacy policy has the full detail.
02Pricing and getting started
How much does Koho cost?
A$49 per consultant a month plus GST (or A$39 a month on an annual plan), with all five modules for every consultant on your team and no minimum seats.
How do we get started?
Koho opens each workspace by invitation. Email hello@koho.au with your agency’s name and team size and we’ll set yours up.
03Resume converter
Which file types can Koho convert?
PDF, Word (.docx) and plain text files up to 25 MB. Older .doc files need saving as .docx or PDF first, and scanned PDFs that are only an image can’t be read.
Can I edit the CV after it’s converted?
Yes. Every section can be edited, reordered, shown or hidden, and you can add your own sections and page breaks before you download the PDF.
Does Koho remove the candidate’s contact details?
Yes. Contact details are never printed on the profile, which tells the client to contact your agency instead. Blind profiles go further and replace the candidate’s name too.
Is AI used, and where does the CV go?
The CV text is sent to Anthropic’s Claude to be structured, which may process it outside Australia and does not use it to train models. Your agency’s records stay in Sydney. An admin can turn AI off and fill profiles in by hand.
What format do I send to clients?
A PDF in your agency’s template, named after the candidate, their role and your agency.
04E-signing
Does the client need an account to sign?
No. They open the link, tick the consent box, confirm their name, role and email, and type or draw their signature on any device.
Can we use our own terms of business?
Yes. Upload your existing terms and Koho splits them into clauses in your wording, with fields for the client, fee, payment days, guarantee and state. An admin reviews them before anything is saved.
What does the audit trail record?
The signer’s name, role, company and verified email, the time, their internet address and browser, the signature, and the exact document they signed with a SHA-256 fingerprint.
What happens if a client doesn’t sign?
Koho sends reminders on day 3 and day 7, then tells the consultant. Links expire after 30 days by default, and an admin can change both.
Can a client decline?
Yes, with an optional reason, and they can download a PDF of the terms at any point before deciding.
05Reference checker
How does the referee give a reference?
They open a link, accept the consent notice and answer a short online form that saves as they go. If they’d rather talk, they can leave a number and a note instead.
What questions are asked?
You choose a question set: Senior leadership, Finance and accounting, Quick check, or your own with up to 40 questions answered in writing, on a 1 to 5 scale, or yes or no.
How are reminders sent?
Automatically, on day 3 and day 7. After that Koho tells the consultant. An admin can change the schedule.
Is AI used on references?
No. A reference is never read by any AI service.
How do clients receive the reference?
One click emails it to the client as a PDF in your agency’s branding and saves a copy to the candidate’s documents.
06Candidate registration
Does the candidate need an account?
No. They open the link you send and fill in the form on their phone or computer. It saves as they go.
Can we change the questions?
Yes. An admin can make each optional question required, optional or off, and add up to five of your own as short answers, long answers or yes or no.
How does Koho handle work rights?
Every candidate confirms their right to work in Australia. Visa holders upload proof, such as a visa grant notice or VEVO check, and their record shows whether that evidence is still to come.
Where do the answers go?
Straight onto the candidate’s record in Koho, and the referees they list are ready to use when you send reference requests.
Where is the information stored?
In your agency’s Koho workspace in Sydney. Work-rights files are kept in private storage.
07Market insights
Where does the data come from?
The ABS, Jobs and Skills Australia, the Reserve Bank and the Fair Work Commission. Every figure shows its source and period.
Is any of it generated by AI?
No. No model writes, estimates or restates a figure, and the summary sentences are built by code from the published numbers.
Which industries are covered?
Twenty-one industries. Your admin chooses the ones your agency recruits into.
Does it include salaries by role?
Not from official data, which doesn’t publish them at that level.
How often is it updated?
Koho checks for new figures every day, and each figure is dated to the period it covers.
Ready when you are.
Koho opens each workspace by invitation. Tell us about your agency and we'll set yours up.
