02Questions that fit the role

Koho comes with three question sets: Senior leadership (five questions), Finance and accounting (four) and a Quick check (three). Build your own with up to 40 questions, each answered in writing, on a 1 to 5 scale, or yes or no. Changing a set never changes requests you’ve already sent.

03Know who you’re hearing from

Referees confirm their name, position, organisation and email, the role the candidate held and how they worked together. Koho checks the email: a personal webmail address is flagged, and a company address is matched against the employer the referee names.

04When a referee would rather talk

Some referees prefer the phone. They can choose “Prefer to talk it through?”, leave a number and a note, and Koho pauses the reminders and tells you. Take the reference by phone, video or in person and fill in the notes sheet, so it sits on the file like any other.

If a request stalls, Koho tells you what’s happening, such as “opened but not started” or “not opened after two reminders”, so you know when it’s time to call.

How does the referee give a reference?

They open a link, accept the consent notice and answer a short online form that saves as they go. If they’d rather talk, they can leave a number and a note instead.

What questions are asked?

You choose a question set: Senior leadership, Finance and accounting, Quick check, or your own with up to 40 questions answered in writing, on a 1 to 5 scale, or yes or no.

How are reminders sent?

Automatically, on day 3 and day 7. After that Koho tells the consultant. An admin can change the schedule.

Is AI used on references?

No. A reference is never read by any AI service.

How do clients receive the reference?

One click emails it to the client as a PDF in your agency’s branding and saves a copy to the candidate’s documents.
