Candidate registration

Candidate registration, done on their phone.

After the call, send one link. The candidate fills in their details, work rights, availability and referees on their phone, and everything lands on their record. Nobody types it up.

01How it works

  1. You doSend one linkFrom the candidate’s record, with your agency’s email template.
  2. Koho doesLets them typeThe candidate fills it in on their phone, saving as they go, under your brand.
  3. You getA complete recordTheir answers fill in their record, and their referees are ready to send reference requests to.

02What the form asks

Every form asks for the candidate’s suburb and postcode, mobile and email, work rights, and their declaration and consent. You choose which of the rest to include: preferred name, emergency contact, qualifications, driver’s licence, police check status, employment type, availability, notice period, preferred locations, areas of interest and salary (per year plus or including super, per day or per hour). Candidates can list up to three referees.

03Only what you need to know

Some things are left out on purpose. The form never asks about health or disability, a driver’s licence number, bankruptcy, or criminal history beyond police check status. Less sensitive information held means less to protect.

04Work rights evidence

Candidates confirm they have the right to work in Australia. Visa holders upload proof, such as a visa grant notice or VEVO check, as a PDF or photo. Their status reads Complete or Awaiting work-rights evidence, so you can see at a glance who is ready to place. Documents with an expiry date are kept until 90 days after they expire.

Anything else? Ask us at hello@koho.au.

Does the candidate need an account?

No. They open the link you send and fill in the form on their phone or computer. It saves as they go.

Can we change the questions?

Yes. An admin can make each optional question required, optional or off, and add up to five of your own as short answers, long answers or yes or no.

How does Koho handle work rights?

Every candidate confirms their right to work in Australia. Visa holders upload proof, such as a visa grant notice or VEVO check, and their record shows whether that evidence is still to come.

Where do the answers go?

Straight onto the candidate’s record in Koho, and the referees they list are ready to use when you send reference requests.

Where is the information stored?

In your agency’s Koho workspace in Sydney. Work-rights files are kept in private storage.

Let candidates do the typing.

Koho opens each workspace by invitation. Tell us about your agency and we'll set yours up.
